Terms of Service

This is a working draft, not finished legal advice.

It was written to match exactly how Kevonia handles data today, so it is a solid starting point — but it has not been reviewed by a lawyer. Have a qualified adviser check it, and fill in every highlighted detail, before you rely on it commercially.

These terms are the agreement between your salon and [your registered company name] for the use of Kevonia. By creating an account you accept them, so please read them. They sit alongside our Privacy Policy.

1. Who we are

Kevonia is operated by [your registered company name], company number [company registration number], registered at [registered address]. In these terms “we” and “us” mean that company, and “you” means the business subscribing to the service.

2. What Kevonia does

Kevonia gives appointment-based businesses a workspace for managing bookings, clients, services, staff and availability, plus a public booking page where clients can book themselves. Your subscription covers unlimited bookings, clients and services, and up to five team members.

We may add, change or remove features as the product develops. We will not remove something you depend on without reasonable notice.

3. Your account

  • You must give accurate details and keep them current.
  • You are responsible for everything done under your account, and for keeping your password safe. Tell us promptly if you think someone else has access.
  • You must be at least 18 and authorised to enter this agreement for your business.
  • One workspace covers one salon. Additional locations need their own subscriptions.

4. Free trial and subscription

  • New workspaces get 14 days free, with every feature unlocked. No card is required to start.
  • After the trial, continuing costs $49 per month, billed in advance through Stripe.
  • We do not charge you automatically when the trial ends. Your workspace simply stops taking new online bookings until you choose a plan.
  • You can cancel at any time from billing settings. Your plan stays active until the end of the period you have already paid for, and we do not refund part-months unless the law requires it.
  • We may change the price with at least 30 days’ notice. If you do not accept the new price you can cancel before it takes effect.
  • Your data remains stored after cancellation so you can reactivate, subject to the retention periods in our Privacy Policy.

5. Payments your clients make to you

This is separate from your subscription, and the distinction matters.

If you connect Stripe, your clients’ payments go directly into your own Stripe account and are paid out to your bank. That money never passes through us and we take no commission on it. We only ever charge you the subscription fee.

Using Stripe means accepting Stripe’s own terms, and Stripe decides whether to approve your account. You are the merchant of record for those transactions: refunds, chargebacks, disputes and any tax on your services are yours to handle. We are not a payment institution and do not hold client funds.

6. Your responsibilities

  • Honour the appointments your clients book, and keep your availability accurate.
  • Have a lawful basis for holding your clients’ personal data, and tell them how you use it. Kevonia stores it on your behalf but the relationship with your clients is yours.
  • Set your own prices, service descriptions and cancellation policy, and make them clear to clients.
  • Comply with the law that applies to your business, including consumer, tax and data protection rules.
  • Only upload images you have the right to use.

7. Your data, and how we process it for you

The client records, appointments and business information in your workspace belong to you. You are the data controller; we are your processor. On that basis we agree that we will:

  • process personal data only to provide the service, and on your documented instructions;
  • keep it confidential and require the same of anyone who handles it;
  • apply appropriate technical and organisational security measures;
  • use only the sub-processors listed in our Privacy Policy, and tell you before adding another;
  • help you respond to requests from your clients exercising their rights;
  • tell you without undue delay if we become aware of a personal data breach; and
  • delete or return your data when your workspace closes, subject to the retention periods we publish.

You can export or request a copy of your data at any time. If you need a separate signed data processing agreement for your own compliance, write to [[email protected]].

8. Acceptable use

You agree not to:

  • use Kevonia for anything unlawful, or to store data you have no right to hold;
  • send unsolicited marketing to clients using data held in Kevonia;
  • attempt to breach security, access another salon’s workspace, or probe the service without permission;
  • scrape, resell or white-label the service without our written agreement; or
  • place a load on the service that degrades it for others.

The public demo workspace is read-only and shared. Please do not put real personal data into it.

9. Availability and support

We work to keep Kevonia available and reliable, but we do not promise uninterrupted service. Maintenance, updates and faults happen, and we may occasionally need to take the service down. We give notice of planned downtime where we reasonably can.

Support is provided by email at [[email protected]] and through the in-app help centre. We aim to reply within one business day.

10. Ownership

We own Kevonia — the software, design, brand and documentation. Your subscription is a licence to use it while you pay for it, not a transfer of ownership.

You own your content: your salon name, logo, service descriptions, client records and bookings. You give us only the permission we need to host and display that content in order to run the service for you, including on your public booking page.

11. Ending the agreement

  • You may cancel at any time from billing settings.
  • We may suspend or close an account that breaches these terms, that we are legally required to close, or that has not paid. Except for serious breaches, we will warn you first and give you a chance to fix it.
  • If we close your account without cause, we will refund the unused part of your current period.
  • When the agreement ends, your public booking page stops accepting bookings and your data is handled as described in our Privacy Policy.

12. Liability

Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit.

Subject to that, we are not liable for lost profits, lost bookings, lost revenue or lost goodwill, or for indirect or consequential loss. Our total liability in any twelve-month period is limited to the subscription fees you paid us in that period.

Kevonia is a scheduling tool, not a guarantee of income. You remain responsible for your own bookings, your relationships with your clients, and keeping your own records. We recommend exporting your data periodically.

13. Changes to these terms

We may update these terms as the service develops. For material changes we will give at least 30 days’ notice by email or in the app. Continuing to use Kevonia after that means you accept the new terms; if you do not, you may cancel.

14. Governing law

These terms are governed by the law of [country of registration], and disputes fall to [the courts of your country]. If you are a consumer rather than a business, you keep any rights to bring proceedings in your own country.

If any part of these terms is found unenforceable, the rest continues to apply.
